Job Summary:
Reporting to the Compliance Manager, the Compliance Paralegal provides operational support to the Ethics and Compliance function and plays a key role in the day to day administration and execution of Bekaert’s global compliance programs.
Working closely with the Compliance Managers, Compliance Expert and the Head of Ethics and Compliance, the role is responsible for coordinating core compliance processes, maintaining compliance systems and documentation, and ensuring the timely execution of operational activities across key compliance domains including anti bribery and corruption, third party due diligence, investigations support, compliance training and privacy.
The role requires a highly organized professional capable of managing multiple operational workflows simultaneously, maintaining compliance systems and documentation, and supporting the effective implementation of the global Ethics and Compliance program.
Key Responsibilities:
General Compliance Program Operations
- Provide operational support for the implementation and administration of Bekaert’s global Ethics and Compliance program
- Maintain compliance documentation, records and program administration processes across multiple compliance domains
- Support the administration of compliance tools and systems used by the Ethics and Compliance function
- Support Compliance Managers and Compliance Experts by coordinating operational tasks, documentation and follow up actions related to compliance initiatives
- Maintain the central overview of instructor led compliance training workshops globally, including tracking delivery and participation, and coordinate with HR Learning to ensure timely updates of compliance training records in the Learning Management System (LMS).
- Assist the Compliance team in preparing governance reporting materials and case summaries for Compliance Committee and Regional Compliance Committees on a quarterly basis
Speak Up and Investigation Case Management
- Manage the Whispli Speak Up case management system, including case intake, documentation and workflow administration
- Support Compliance Managers with internal investigations and coordinate actions with relevant stakeholders
- Manage the long term remedial actions resulting from closed investigations and follow up with internal stakeholders on their deliverables
- Assist Compliance Managers with drafting investigation reports and ensuring proper case file maintenance
- Prepare quarterly (and ad hoc) reporting on Speak Up case statistics for Compliance Committee and Audit and Risk Committee meetings
Third Party Due Diligence and Screening
- Manage the operational administration of the Exiger third party screening system
- Perform first level review of screening results and coordinate follow up actions with requestors and relevant internal stakeholders
- Maintain screening documentation and ensure due diligence records are properly captured in the system
- Support Compliance Managers in monitoring third party risk
Sales Agent Compliance Process
- Manage the the Sales Agent onboarding process
- Act as a gatekeeper to ensure required compliance screening and approvals are completed prior to contract execution by Legal
- Maintain and upload documentation and records related to the Sales Agent approval process
- Maintain the central register of Sales Agents and ensure the overview remains accurate and up to date throughout the year
- Support the annual Sales Agent monitoring and audit process by coordinating documentation collection, tracking completion of required questionnaires and certifications, maintaining audit records, and following up with business stakeholders to ensure timely submission of required information
Privacy Program Support
- Provide operational support for the execution of the global privacy program
- Maintain privacy documentation including registers of processing activities and related records
- Assist with the review of Data Processing Agreements
- Assist with the administration of data subject rights requests and data breach documentation
Qualifications
The role requires a detail oriented professional with experience supporting legal, compliance or governance functions within an international organization.
Required qualifications include:
- Minimum of 3 to 5 years experience in a legal, compliance, audit or governance support role
- Experience supporting compliance programs or legal processes within a corporate environment
- Experience working with case management systems, screening tools or compliance related systems is an advantage
- Strong organizational and documentation management skills
- Ability to manage multiple operational tasks simultaneously and meet deadlines
- Strong attention to detail and ability to handle sensitive information with discretion
- Strong communication and coordination skills when working with internal stakeholders
- Eagerness to learn
